Softermii APEX built Thrive Portal for New Perspectives Inc., a California adult day program — three connected apps that took a paper operation digital and were engineered for staff who have seconds of attention, not minutes.

Taking an adult day program off paper

New Perspectives runs daily operations for adults with intellectual and developmental disabilities (IDD) — attendance, medications, behavior logs, incident reports, goals and daily reports — and ran all of it on paper, in a field where every record has to hold up to a state compliance audit. Roughly 60–70% of that documentation was actually getting completed.

The reason wasn't carelessness. Direct support professionals supervise clients at a 1:3–1:6 ratio, with only about 30–45 minutes of phone availability across an entire shift, in bursts of a few seconds. Any tool that assumes a worker can stand at a screen and type would go unused.

Softermii APEX delivered Thrive Portal as three connected apps on a shared backend: an Employee mobile app for point-of-care capture, a Director web dashboard for oversight and reporting, and a deliberately restricted, read-only Parent app — 101 features in a 6-week build.

  • Employee (DSP) mobile app

    Point-of-care capture built for seconds of attention — attendance, medications, behavior, media and van checks. A pre-shift compliance gate governs clock-in, and a clock-out gate blocks the end of a shift until everything is logged and no client is left open.

  • Director web dashboard

    Location-scoped rosters, goal authoring, fleet management, an approvals workflow for incident reports and parent-shared media, and a full reporting suite across attendance, medications and goal progress.

  • Read-only Parent app

    A deliberately restricted, read-only view of a curated, non-clinical data set — a face sheet, director-approved media and the activity calendar. Clinical and incident data is excluded by design.

  • Clinical fidelity, not generic CRUD

    Behavior is documented with the ABC (Antecedent-Behavior-Consequence) log; goals use the program's real prompt-hierarchy scale; and a serious-behavior flag auto-drafts an incident report the shift can't close without.

  • Multi-site by design

    A role hierarchy — admin, director, employee, parent — scoped by location rather than by company, so one deployment serves a multi-site operation cleanly.

  • Re-engineered capture

    An emoji grid for mood, portion chips for meals, one-tap push confirmation for medications, grouped checklists with sensible defaults — the same data, a fraction of the effort.

The guiding decision was to keep every planned feature and re-engineer how each one is captured. A mood entry became an emoji grid; a medication became a push notification with a one-tap confirm; a roughly 30-item van inspection became six grouped sections with an “All Good” default. The underlying data stayed the same; the effort to enter it collapsed.
